Privacy Notice for the processing of personal data relating to the use of the Exhibitor Services website of Fiera Milano Congressi

In compliance with articles 13 and 14 of Regulation (EU) 679/2016 - General Data Protection Regulation (GDPR), we inform you that in order to use the Exhibitor Services website (the "Website") of Fiera Milano Congressi S.p.A. and the request for services dedicated to registered exhibitors, it is necessary to provide some personal data that may concern the exhibitors themselves, if they are sole traders, small entrepreneurs, professionals, etc., or the contact persons of the exhibitors, if they are companies, bodies or associations (to which, as is well known, the GDPR is not applicable).
The personal data subject to processing are provided directly by the user of the Website by filling in the online forms or communicated to Fiera Milano Congressi SpA by the client/organiser of the event, by virtue of a specific contract, for the purpose of sending the link and credentials for access to the Website.
Personal data are processed, as data controller, by Fiera Milano Congressi SpA ("FMC"), with registered office in Piazzale Carlo Magno 1 Milan, for the purpose of registering on the Website and sending access credentials, for the request and use of compulsory and/or accessory services related to participation in the event of interest and for the performance of related regulatory, administrative and accounting requirements. Therefore, the processing of personal data by FMC is necessary for the execution of contracts and pre-contractual measures requested by exhibitors, for the fulfilment of legal obligations and for the pursuit of legitimate interests connected with the performance of administrative, organisational, technical and security activities related to the management of the Website and services for exhibitors. E-mail address and mobile phone data are also used to send communications regarding the services requested and the relevant updates. Also in this case, the processing of personal data by FMC is necessary for the execution of contracts and pre-contractual measures requested by exhibitors.
The provision of the data marked online with an asterisk (*) is necessary for registering on the Website and requesting the relevant services, which, in the absence of such data, it would not be possible to purchase/activate online. While the provision of other data not marked with an asterisk (*) is optional and serves to facilitate activities and contacts regarding the provision of the services requested. Data recorded automatically through the use of the Website may be processed for the purposes and in the manner indicated in the site's privacy and cookie policy.
The personal data provided may be made known to authorized subjects of FMC who are responsible for the Website and the provision of services and communicated, where necessary, to external parties involved in the performance of the services requested, which may include, indicatively, fitters, sub-contractors, forwarding agents, receptionists, telephone operators, photographers, etc. Data recipients who process personal data on behalf of FMC for the activities entrusted to them are appointed as data processors by means of a specific contract. In any case, data are not transferred to third countries outside the EU.
The personal data provided is processed with the aid of automated tools and the use of appropriate security measures. For the above-mentioned purposes, personal data are stored for the time necessary to provide the services and to fulfil the obligations provided for by current legislation for accounting and tax purposes.
Pursuant to Articles 15-22 of the GDPR, the natural person to whom the data refer (the so-called data subject) has the right to ask FMC, e-mail: gdpr@fieramilanocongressi.it, to access the personal data concerning him or her and to rectify them if they are inaccurate, to delete them or to restrict their processing if the conditions are met, to obtain the portability of the data provided directly by him or her (only if they are processed automatically on the basis of his or her consent or by contract), and to object to their processing for reasons relating to his or her particular situation and in any case for direct marketing. The data subject also has the right to withdraw consent, should he or she be asked to give it for certain processing purposes, and the right to lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali) if he or she considers that his or her rights have been violated in relation to the processing of data concerning him or her.
